Why I Stopped Paying Monthly for Freelance Tools (And What I Use Instead)

By Folio Supply · April 2026 · 8 min read

Here’s a number that should bother you: the average freelancer spends €80–200 per month on SaaS tools. Proposal software, invoicing, project management, time tracking, CRM, accounting. Each one costs “just” €15–50/month. Each one felt essential when you signed up.

Add them up over a year and you’re looking at €960–2,400. Over two years, that’s potentially €4,800 — money that came straight out of your profit margin on every single project.

And the worst part? If you stop paying, you lose access to your own data.

This post is about why subscription fatigue is hitting freelancers harder than anyone, what the alternatives look like, and how to run your entire business from tools you actually own.

The Subscription Trap for Freelancers

The SaaS model was built for companies with IT departments and operating budgets. For a company with 50 employees, €30/month per tool is a rounding error. For a solo freelancer, it’s a meaningful recurring cost that eats into every project’s profitability.

But the cost isn’t even the biggest problem. There are three deeper issues:

1. You don’t own anything. Your proposals, invoices, client records, financial history — all of it lives on someone else’s server. If the company shuts down, changes pricing, or gets acquired, your data goes with them. You’re renting your business infrastructure.

2. You use 20% of the features. Most freelance SaaS tools are built to serve agencies and teams. As a solo operator, you’re paying for collaboration features, team permissions, CRM automations, and integrations you’ll never touch. The tool is bloated for your needs, but there’s no “solo” pricing that reflects that.

3. Your data is scattered. Proposals in one tool. Invoices in another. Project tracking in a spreadsheet. Finances in yet another app. Nothing talks to anything else. You end up re-entering the same client name, the same project details, and the same amounts across three or four different systems.

The Real Cost: A Two-Year Comparison

Let’s look at what a typical freelancer pays for the tools that handle quoting, project tracking, invoicing, and financial oversight:

ToolMonthly2-Year Total
Proposal software (Proposify, Better Proposals)€19–49€456–1,176
Invoicing (FreshBooks, Bonsai)€15–30€360–720
Project tracking (Asana, Monday)€10–25€240–600
Accounting (QuickBooks, Xero)€15–40€360–960
Total€59–144€1,416–3,456

That’s the cost of doing business the way most freelancers are taught: sign up for the “best” tool in each category, pay monthly, and hope you’re actually using them enough to justify the expense.

What “Buy Once” Looks Like

There’s a growing counter-movement. Companies like 37signals launched ONCE — pay-once versions of tools that used to be subscription-only. The premise is simple: you pay once, you own it, it runs on your machine.

This approach works especially well for freelancers because:

The Problem Nobody Solves: Enter Once, Flows Everywhere

Here’s the specific frustration that drove us to build the Folio Business Command Center:

When a freelancer gets a new client, they have to enter the same information into multiple tools. The client name goes into the proposal tool. The project scope goes into the project tracker. The amounts get re-entered into the invoicing app. The revenue shows up in the accounting tool only after more manual entry.

Every re-entry is a chance for error. Every context switch is lost time. And none of these tools know about each other.

The Command Center solves this with one principle: enter your project once, and everything cascades automatically.

How the cascade works:

You create a quote with your project phases, pricing, and payment schedule. When the client accepts, you click one button. That single click creates the active project (with all phases and budget), generates draft invoices (from your payment schedule), adds the client to your log, and feeds the revenue into your financial overview. No re-entry. No copy-pasting. No switching between tools.

What You Actually Need vs. What SaaS Sells You

Most freelancers need exactly four things from their business tools:

1. Quote projects accurately. Not just “what’s my hourly rate?” — but “how much should this specific project cost, with risk buffer and profit margin, across these phases, in this pricing model?”

2. Track work against budget. Know at any moment whether a project is on track or bleeding money. See it per-phase, not just in aggregate.

3. Invoice professionally. Generate branded PDFs with your logo, your payment details, and correct tax calculations. Send them. Track payment. Follow up on overdue invoices.

4. Know your financial position. Revenue this month. Outstanding invoices. Tax reserve. Are you growing or shrinking? You shouldn’t need a spreadsheet for this — and you definitely shouldn’t need to enter data twice to see it.

That’s it. Four needs. And yet the typical freelancer uses four separate subscriptions to cover them, plus a spreadsheet to tie it all together.

Privacy Is Not a Feature. It’s Architecture.

Here’s something most freelancers don’t think about until it’s too late: every SaaS tool you use has your client data on their servers. Client names, project scopes, financial details, invoice amounts — all stored on infrastructure you don’t control, protected by terms of service that can change without notice.

When a tool runs locally in your browser with no server component, privacy isn’t a policy. It’s physics. There’s no data to breach because there’s no server holding it. There’s no access to revoke because there’s no account. Your client data lives on your machine and nowhere else.

This matters more than most freelancers realize, especially as client contracts increasingly include data handling clauses. “Your data is stored locally and never transmitted” is a stronger answer than “We use AWS with SOC 2 compliance.”

The Retainer Problem

If you have retainer clients — and many established freelancers do — you know the monthly admin grind: create the invoice, check hours against allocation, update the spreadsheet, repeat. Every month.

A good tool should handle this automatically. Set up the retainer once (monthly fee, allocated hours, billing day) and the system generates draft invoices each month, tracks your utilization, and shows retainer revenue separately from project revenue in your financial overview.

Most proposal tools don’t handle retainers at all. Most invoicing tools handle them as “recurring invoices” without any connection to hours or project tracking. The gap between tools is where your time disappears.

What I Use Instead

The Folio Business Command Center is a single HTML file that runs in your browser. It costs €99 once. It handles:

No account. No subscription. No cloud. No tracking. Your data stays on your computer.

ApproachMonthly Cost2-Year CostYour Data
4 SaaS subscriptions€59–144€1,416–3,456On their servers
Command Center€0€99 (total)On your computer

Is This Right for You?

The Command Center is built for a specific type of freelancer: solo service providers billing €1K–20K per project, managing 3–10 clients at a time, who have outgrown spreadsheets but don’t need (or want) bloated SaaS platforms.

It’s not for agencies with teams. It’s not a replacement for full accounting software if you have complex financial structures. And it doesn’t integrate with your bank or payment processor — it generates invoices and tracks payment status, but collecting payment is still your responsibility.

What it does do is replace the patchwork of spreadsheets, free tools, and entry-level SaaS subscriptions that most freelancers cobble together — with one tool that actually connects the dots.

Quotes, projects, invoices, and finances — enter once, everything flows. €99, one-time, no subscription. Your data never leaves your computer.

The Bottom Line

Subscription fatigue isn’t just about money. It’s about complexity, data fragmentation, and the slow drain of re-entering the same information across tools that don’t talk to each other.

The alternative is simpler than most freelancers expect: one tool, one price, everything connected. Enter your project once and let it flow — from quote to project to invoice to your financial overview — without touching another spreadsheet.

Your time is better spent on client work. Your money is better kept in your account. And your data is better off on your own machine.
